Analysis of Sales Credits

The Analysis of Sales Credits option provides the capability for producing selective analyses of monthly sales credit values, as defined by the department, account type, as at date and format requirements specified. The summary format presents an analysis, by credit reason code, of credited values, the number of documents and their respective percentages of the total invoiced values, the total credited values, and the total number of credits, for each of the twelve months prior to the as at date, accompanied by the total credited values, the total number of documents and their respective percentages. The sales invoiced and sales credited values may optionally include or exclude inter-warehouse transfer documents. If credit reason codes have been classified with a department code, identifying the department responsible for that manner of credit activity, then the credit reason values and statistics are presented in department code sequence, accompanied by departmental sub-totals and associated percentages. The detailed format presents a listing of credit transactions by credit reason code within month, and may be produced for either the twelve months to the as at date, or for the as at date month only. The report is typically produced at the completion of trading each month as a monitoring tool to assist with the management of sales activities. Commission Schedule

The Commission Schedule option provides the capability for producing schedules of sales commissions due, as defined by the salesperson, as at date and format requirements specified. The summary format presents, for each salesperson, customer totals for sales revenue and gross margin, within product categories if defined, accompanied by the commission amounts due calculated at the percentage rates applicable for that salesperson. The detailed format presents the summary information, accompanied by inventory item sub-totals, and optionally accompanied by individual invoice numbers, dates and values. Both formats conclude with a schedule presenting the overall sales values and commissions due for each salesperson. Optionally, journal documents for the accrual of commissions payable may be generated, and optionally submitted. Contract Billing Analysis

The Contract Billing Analysis option provides the capability for producing selective analyses of actual and anticipated sales contract billings as defined by the department, date and format requirements specified. The summary format presents department and contract numbers, customer account numbers and names, contract frequency and commencement and expiry dates, billing quantities and billed or projected values for six periods, selectable as monthly, quarterly, six-monthly or annual, retrospective from the 'to date' specified. The detailed format incorporates the summary information, accompanied by line level data including item codes and descriptions, and quantities and values. Optionally, values may be presented in the currency applicable for each customer, and both formats may be sequenced in contract number, department or customer name order, with sub-totals provided for by department and by customer selections. Expired Sales Quotes

The Expired Sales Quotes option provides the capability for listing and cancelling sales quotations which have expired. The report provides a prooflist of proposed quote cancellations, presenting quote numbers, quote dates, expiry dates, customer account numbers and names, customer references, salespersons and total quote values, accompanied by 'line' level data including item codes and descriptions, sale quantities, unit prices and quote values. The 'update' option provides for the cancellation and automatic submission of sales quotes for processing. View sample report TCSDocuSQuoExpiry.

Gross Margin Analysis Report

The Gross Margin Analysis Report option provides the capability for producing selective schedules of sales margins achieved and sales margin exceptions, as defined by the department, date range, minimum and maximum acceptable margins and format requirements specified. Additionally, inter-company sales, inter-warehouse transfers, promotional item sales and sales in regard to warranty activities may be optionally included. The summary format presents period totals for sales quantities, sales values, cost of sales values, gross margin values and percentages, analysed by either account group or franchise (i.e. inventory items) and accounts (i.e. general ledger items). The exception format presents invoice numbers, invoice dates, customer account numbers and names, invoice processors (i.e. user names), sales quantities, sales values, cost of sales values, gross margin values and percentages for only those invoices containing line items that contradict the specified minimum and maximum margins, and may be presented in either invoice number, department or salesperson order. Lost Sales Analysis

The Lost Sales Analysis option provides the capability for producing selective listings of cancelled customer sales order line items, as defined by the warehouse codes, account group range, account number range, reason codes and date range requirements specified. The report includes inventory account numbers and names, warehouses, sales order numbers and dates, lost sale quantities, prices and reasons, salespersons and customer account numbers and names, optionally accompanied by notes. Lost sales may be analysed by inventory, customer, reason or salesperson, with inventory item details presented in either ascending or descending date sequence within account number or account group. Open Sales Contracts Report

The Open Sales Contracts Report option provides the capability for producing selective listings of open, i.e. current, sales contracts, as defined by the department, contract number range, contract date range, commencing date range, and format requirements specified. The summary format presents contract numbers and dates, customer account numbers and names, salesperson codes and names, contract frequency and commencement and expiry dates, and total quantities and values applicable to periodic billing. The details format incorporates the summary information, accompanied by contract line level data including item codes and descriptions, and the periodic quantities, unit prices and values. Optionally, values may be presented in the currency applicable for each customer, and both formats may be sequenced in contract number, contract date, commencement date, customer name or department order, with sub-totals provided for the by customer and by department selections. Open Sales Orders Report

The Open Sales Orders Report option provides the capability for producing selective listings of open, i.e. outstanding, sales orders, as defined by the department, order number range, order date range, due date range, on-order reason, i.e. stock unavailablity or credit restriction, and format requirements specified. Additionally, 'New' status orders, i.e. incomplete or in-process documents, may be optionally included. The summary format presents order numbers, order dates, expiry dates, customer account numbers and names, due dates, on-order reasons, salesperson codes and names, and total quantities and total values outstanding. The details format incorporates the summary information, accompanied by order line level data including item codes and descriptions, and the quantities, unit prices and values remaining on order. Optionally, values may be presented in the currency applicable for each customer, and both formats may be sequenced in order number, order date, due date, customer name, department or salesperson order, with sub-totals provided for by the customer, by department or by salesperson selections. Open Sales Quotes Report

The Open Sales Quotes Report option provides the capability for producing selective listings of open, i.e. outstanding, sales quotations, as defined by the department, quote number range, quote date range and format requirements specified. The summary format presents quote numbers, quote dates, expiry dates, customer account numbers and names, salesperson codes and names, and total quantities and total values outstanding. The details format incorporates the summary information, accompanied by quote line level data including item codes and descriptions, and quantities, unit prices and values awaiting acceptance. Open Sales Shipments Report

The Open Sales Shipments Report option provides the capability for producing selective listings of open, i.e. outstanding, sales shipments, as defined by the department, shipment number range, shipment date range and format requirements specified. Order Supply Statistics

The Order Supply Statistics option provides the capability for producing selective analyses of sales order fulfilment rates, as defined by the warehouse, customer account number range and account numbers, date range, and format requirements specified. The summary format lists ordered quantities and the number of order lines, accompanied by either shipped quantities and the number of order lines shipped in full by due date, not shipped quantities and the number of order lines not shipped, or late shipped quantities and the number of order lines late shipped. Each statistic type incorporates quantity and lines shipped, not shipped or late shipped percentages respectively for the selected time period, accompanied by comparative statistics for both the prior period and the same period in the previous year, and may be presented as either item franchise, item group, customer account, order type or working days late analyses. The detailed format lists the summarised information for the current period, accompanied by the individual order numbers, order dates, order types and either customer order references or where applicable, working days late, from which the franchise, group, customer, order type or days late totals have been accumulated. Price Variance Report

The Price Variance Report option provides the capability for producing selective listings of pricing variances for inventory item sales, as defined by the department, date range, and format requirements specified. The analysis may be restricted to price reductions only, or all variances may be listed, and optionally, additional analysis may be presented in regard to the discount rates normally applicable and the effective discount rates incorporated in the invoiced prices. Details listed include salesperson names, customer account numbers and names, item codes and descriptions, invoice numbers and dates, sale quantities, default prices, invoice prices and variance values, optionally accompanied by item average costs, customer base prices, default discount rates and effective discount rates. The analysis may be produced by salesperson, customer or item, with price variance details presented in either salesperson, customer or inventory item sequence. Reset Invoice Print Counts

The Reset Invoice Print Counts option provides the capability for the resetting of invoice print counts from a previously failed Unprinted Invoice run. All invoices from the failed run may be reset or alternatively only those after a specified invoice if the run was partially successful.

Sales Analysis by Salesperson

The Sales Analysis by Salesperson option provides the capability for producing selective analyses of warehouse account, i.e. inventory item, sales made by salespersons over nominated time periods as defined by the salesperson, client manager, warehouse, franchise, account group range, account number range and selected account numbers, date range and format requirements specified. Optionally, sales of ledger items may be included, as may sales made to ledger accounts and job accounts in addition to debtor accounts, and the analysis may be restricted to sales invoices only or sales credits only. The summary format presents item account numbers and names, and total quantities, average unit prices, total sales values, total cost values and percentage margins. The detailed format incorporates the summary information accompanied by per sale data regarding invoice numbers and dates, customer account numbers and names, and quantities, unit prices, sales values, cost values and percentage margins, prefaced by account group totals or franchise totals for corresponding order by selections. Both formats may be presented as an analysis by either invoice salesperson, account salesperson or client manager, with inventory items listed in account number, account group or franchise sequence. Optionally, customer totals may be incorporated in the reports, and cost values and margin percentages may be excluded from the reports. Sales Credit Issue Control

The Sales Credit Issue Control option provides the capability for producing selective listings of credit notes issued, as defined by the department, credit reason, date range, minimum value and format requirements specified. The sales credits are presented in the context of the sales invoices with which they are associated, and may optionally include sales credits issued to job accounts in regard to the return of parts. The report details customer account numbers and names, invoice document numbers, dates and amounts, and credit document numbers, dates, return days and amounts, accompanied by the percentages of original invoice values 'written off' by the credit notes, and the names of the credit document authorisors. The report may be presented in either invoice number, invoice date, customer name, department or credit reason sequence, with sub-totals, including an analysis of credits exceeding return days policy, provided for by customer, by department and by credit reason selections. Sales Invoice Register

The Sales Invoice Register option provides the capability for producing selective listings of sales invoice document details, as defined by the document number range, invoice type, date type and date range requirements specified. All invoice types may be listed, or the report may be restricted to either job invoices or sale invoices only. The register presents sales invoice document numbers and creation dates, customer account numbers and names, customer order numbers, invoice dates, financial transaction dates, and tax inclusive (i.e. gross values), tax exclusive (i.e. net values) and tax values. These details may be presented in either document number or the selected type of date sequence, and the report totals include a count of the number of documents. Sales Order Purchases Status

The Sales Order Purchases Status option provides the capability for producing selective listings of outstanding sales orders for which goods purchases are still awaited, as defined by the department, order number range, order date range, due date range and format requirements specified. Optionally, all cash sale orders may be listed, irrespective of whether any purchase associations have been defined. The summary format presents order numbers, order dates, expiry dates, customer account numbers and names, customer references and account status, i.e. cash or charge, due dates, total quantities and total values outstanding, and purchase order numbers and document status where purchase order documents have been cross referenced to sales order documents. The details format incorporates the summary information, accompanied by order line data including item codes and descriptions, quantities, unit prices and values on order, and purchase order numbers, line numbers and line status where sales order lines have been linked to purchase order lines. Both formats may be sequenced in order number, order date, due date, customer name, department code or salesperson code order, with sub-totals provided for by customer, by department and by salesperson selections. Sales Performance Analysis

The Sales Performance Analysis option provides the capability for producing selective analyses of sales quantities, sales values and gross margins at a nominated date, as defined by the company, product group, customer group, salesperson, debtor account, as at date and format requirements specified. The report details target year to date, actual year to date, year end target and year end forecast data, each in terms of sales quantities, sales values, margin percentages and margin values. Optionally, target and actual year to date margin values may be suppressed and replaced by sales value and percentage variances. The report may be presented as either a product analysis, by major group or account group, a customer analysis, by account group or account salesperson including selected debtor accounts (e.g. 'cash sales' accounts that are typically not classified by a salesperson code), or a salesperson analysis, by invoice salesperson. Additionally, both the customer analysis by account salesperson and the salesperson analysis by invoice saleperson may be optionally sequenced by department, including departmental sub-totals. Shipment Consignment Report

The Shipment Consignment Report option provides the capability for producing selective analyses of consignments despatched to customers, as defined by the warehouse, carrier, shipment number range, despatch date range and format requirements specified. The summary format presents consignment numbers, despatch dates, carrier account numbers and names, shipment document numbers and dates, customer account numbers and names, and weights, volumes and freight charges. The detailed format presents the summary information, accompanied by individual parcel and additional freight ticket information. Both formats may be presented in either consignment note number, despatch date or carrier name sequence, and incorporate statistics for total consignment notes, total shipment documents, total items despatched, total parcels despatched and total freight tickets. Optionally, the 'Analysis' report type may be selected to present statistics only for the current reporting period, accompanied by comparative statistics for the prior period and the same period in the previous year. Shipment Discrepancy Report

The Shipment Discrepancy Report option provides the capability for producing selective listings of short shipments and customer receipt variances for items on sales shipments, as defined by the warehouse code, shipment date range, carrier account, customer account, picked by account, packed by account, reason code and format requirements specified. The summary format presents, for each instance of the analyse by criteria selected, the number of shipments, shipment lines, picked lines, picked percentage, discrepancy lines and percentage of discrepancy lines, ship quantities, picked quantities and picked percentage, and received quantities. The detailed format presents the summary data and supporting data for each total, including line item level details in regard to each shipment discrepancy that has occurred. Either report may be analysed by picked by, packed by, carrier, customer, shipment date, warehouse, reason or inventory item, and within that, ordered in shipment number, shipment date, picked by, packed by, carrier, customer, reason or inventory item sequence. Optionally, a totals format may be produced, presenting the selected analyse by criteria instance totals only. Status of Sales Orders

The Status of Sales Orders option provides the capability for producing selective listings of the status of sales orders, as defined by the department, order number range, order date range, due date range, open or all orders, and format requirements specified. The summary format presents order numbers, customer account numbers and names, order dates, and total quantities and total values ordered, supplemented by total quantities and total values shipped, i.e. despatched, total values outstanding, and total quantities and total values invoiced consistent with subsequent procedures that have been completed. The details format incorporates the summary information, accompanied by order line level data regarding item codes and descriptions, quantities and values ordered, quantities and values despatched, and quantities and values invoiced as applicable. Optionally, values may be presented in the currency applicable for each customer, and both formats may be sequenced in order number, order date, due date, customer name or department order, with sub-totals provided for the by customer and by department selections. The details format incorporates the summary information, accompanied by quote line level data regarding item codes and descriptions, quantities and values quoted, and quantities and values ordered as applicable. Optionally, values may be presented in the currency applicable for each customer, and both formats may be sequenced in quote number, quote date, customer name or department order, with sub-totals provided for the by customer and by department selections. Status of Sales Returns

The Status of Sales Returns option provides the capability for producing a listing of warehouse account (i.e. inventory item) returns, whose status is either New or Open, as defined by the return number range, arrival date range, actual pickup date range scheduled pickup date range, freight carrier account selection and the format requirements specified. The summary format lists return numbers, customer references, customer account numbers and names, return dates, arrival dates, actual pickup dates, scheduled pickup dates, and return quantities and total values. The detailed format returns the summary data together with transaction level data including inventory account numbers and descriptions, lot/serial references if applicable, return reasons, and return quantities and total values, and any details of the final disposition of the returned item. Both formats may be presented in either return number, customer alphabetic key, arrival date, actual pickup date, scheduled pickup date, or freight carrier sequence.

Status of Sales Shipments

The Status of Sales Shipments option provides the capability for producing selective listings of the status of sales shipments, as defined by the department, shipment number range, shipment date range, shipment status and format requirements specified. The summary format presents shipment numbers, customer account numbers and names, shipment dates, total quantities and total values originally ordered, total quantities and total values shipped, i.e. despatched, and if applicable, total quantities and total values invoiced. The details format presents the summary information, accompanied by shipment line level data regarding item codes and descriptions, quantities and values ordered, quantities and values despatched, and quantities and values invoiced as applicable. Optionally, values may be presented in the currency applicable for each customer, and both formats may be sequenced in shipment number, shipment date, customer name or department order, with sub-totals provided for the by customer and by department selections. Unprinted Invoices

The Unprinted Invoices option provides the capability for printing sales invoices for 'charge' customers at regular intervals based on the frequency codes defined on debtor accounts. All debtors whose frequency code matches the print run code specified are selected, and all invoices not previously printed are produced for each debtor. The invoice format output may be sequenced by either customer name or account number, within any dual combination of customer, account group, location and postcode, e.g. postcode within account group, and the format presentation may optionally include a remittance advice section. The invoices are accompanied by a summary, or control, report detailing the invoices produced and incorporates an analysis by output type, i.e. print, fax or email, applicable for each. The option is used to minimise the postage and other overheads associated with the mailing out of such documents. View sample report TCSDocuSInvBatch.
